Tips & Tricks for the Digital Office

There are several quick and easy technologies available to help you update your office without breaking the bank.  Two of my personal favorites are thin clients and dual screens.  I believe that the thin client workstation is the most underappreciated and underutilized tool in many people’s IT toolbox.  A thin client is a mini-computer about the size of a paperback book that depends on an external server to perform its computations.  Most of us are used to working on fat clients, which is simply another name for a personal computer that does all of its own computations.  Simply put, if a fat client was to lose its network connection it could still function on its own, but if a thin client loses its network connection, it is dead.  Why would you want a mini-computer that can’t function without a network connection?  Two words: cost & scalability.  56xx copy03-resized-600.jpgThin clients cost half as much as a traditional computer and due to their size can be placed just about anywhere.  Because they take their orders from a central server, they can be swapped out with ease and don’t require reprogramming.  Adding workstations becomes easy instead of a chore and allows you to scale your practice upwards as it grows.  I personally use Wyse (now owned by Dell) thin clients and link them to my primary server using Microsoft’s Terminal Services.  The latest thin clients even contain graphics cards which allow you to support multiple monitors and 3D imaging software.  The capabilities of thin clients have slowly blossomed under the radar and should be considered by any orthodontist looking to add workstations.

The idea of dual screens may seem simple but it’s vastly underutilized within orthodontic offices.  Though there is a period of adjustment the efficiency and productivity of your team members will increase once they begin using dual monitors at their workstations.  Though many offices have placed dual monitors in their doctor’s personal office they sometime underestimate the benefits of equipping their administrative and clinical teams with the same technology.  Having the ability to keep imaging software up on one screen and management software up on another is indispensable in my mind.  Most computers and thin clients support dual screens and those that don’t can be easily retrofitted to support them using an inexpensive PCI card.  There’s also no reason to settle for just two monitors.  If two is good, then at some workstations, three or four screens may be even better.

 

Free WiFi for your patients: AKA “The Office Without a Hotspot is Not a Hot Spot”

What was once just a trendy offering at Starbucks or Barnes & Nobles, open Wi-Fi access points or ‘hotspots’ for laptops, tablets, or mobile phones have become pretty common fare in most businesses with reception areas.   Even your friendly neighborhood orthodontist!   However, offering this much-appreciated (and relatively inexpensive to provide) service to your patients is not as simple as it is for WiFi access for your home.   Due to patient privacy concerns and exposure liability for your practice (HIPAA), WiFi at your office needs to be done properly, or not at all.

Concerns & Safety
First off, although a WiFi access point can use the same data connection to the Internet as your practice computers, you will want to setup your office hotspot to be “OFF NETWORK.” In other words, the internet connection that you setup for your hotspot will need to be an independent connection from that of your internal office connection.   This way, your clientele will not have the ability to gain access and/or view your office data, patients’ information, or other devices’ information that attached to the hotspot.  Without this type of separation between your office and public connections, you are setting yourself up for an infringement of the HIPAA Regulations Act in exposing your patients’ personal information to the general public. This, in itself, could cost an office between $100 – $50,000 per violation with a maximum of $25,000 – $1,5M for repeat offenders, and the possibility of your office being closed until such violations are corrected and then re-inspected. This could cost an orthodontic practice quite a bit in downtime and expenses. As a side note, an owner who knowingly infringes upon this violation could face imprisonment for up to 10 years.

Setup
The wireless access point hardware used to setup a hotspot is different than most wireless routers/firewalls you may use for personal purposes, with integrated software for the open WiFi setup.   One of the main features is a ‘landing page’ that people attempting to connect to the hotspot will be directed to.   The landing page will have a service usage agreement that covers the terms and conditions in offering this free service, discusses proper usage and guidelines, and separates the practice from liability concerns.   The patient must agree to terms before they complete the WiFi connection, and then the integrated software will automatically direct them to your preferred home page (typically your practice website, which helps drive up your website unique visits as well!).  The access point will also have protection features between the users connected so they cannot access each other’s systems.  Also, depending upon how involved you want to be in keeping your clients safe, there are other firewall appliances that incorporate additional features, like content filtering, spam filtering, virus protection, etc., that can be implemented to protect the browser.

Finally, the implementation of a hotspot access code for the connectivity to your public WiFi access is important to prevent or limit non-client abuse.   This way, only your patients in your office can use your Internet bandwidth and not your neighbors or people passing by.   Just post a couple nicely framed signs around your reception area that announce the presence of the free WiFi hotspot and provide your access code.  (Small side note – keeping the access code simple to read and remember will keep clients from harassing your receptionists for help connecting, so just keep that in mind.)   Also, an automatic disconnect after 15 minutes of inactivity is helpful to keep neighbors from sitting on your connection.

With proper set-up, a free WiFi hotspot is a great addition to your reception area and will be appreciated by your tech-savvy, social networking, or work-on-the-go clientele.

Collaborate with Parents and Dentists Online for Free

We live in a busy world where it is increasingly more difficult for people to get together face-to-face. Not a week goes by where the parent of a new patient says they will have to go home and discuss the proposed treatment plan with the spouse that wasn’t able to attend the initial exam. Similarly, most of us have a list of patients we need to discuss with their referring dentist or oral surgeon. Getting all of these people together used to be inconvenient and time consuming. In today’s digital world, there are tools available online that allow us to meet without being in the same room. One of these is a website called Join.Me.

Although it is not the only such service available, this one is easy and it is free. Join.Me is a product from the same people who provide a service you might be familiar with called LogMeIn. In a nutshell, Join.Me allows any person who has a computer and Internet to share his screen in real time free of charge. The LogMeIn company uses the “freemium” marketing model to sell its services. They give users their basic service for free and then offer a full-service version at a premium (or fee). Here’s how you can use Join.Me to help you meet online with parents, dentists, and specialists without leaving your office.

Open any browser on your computer and go to the website www.join.me (not www.joinme.com). Upon arriving at the site you will be greeted with two options. You can either share your screen or join someone else on their screen. If you want to share yours, select the basic service and click on the orange button in the Share panel. Your computer will quickly install a small piece of software that starts the session and a small orange control panel will appear at the top of your screen. You will be assigned a 9-digit code in that control panel that you will give to the person who will join you on your computer.

Instruct the person with whom you want to collaborate to also open www.join.me on their computer. Have them enter the 9-digit code into the box under the word Join and click the green button. Their computer will then connect with yours and they will be seeing exactly what you have on your screen. It’s that easy! You can even let them control your mouse by giving them permission in the Join.Me control panel at the top of your screen.

Pretty cool!

Quick! What’s A QR Code?

You’ve seen QR codes, even if you don’t know what they are.  A Quick Response (QR) code is a next-generation two-dimensional bar code that encapsulates information.  QR codes were originally designed for tracking parts in vehicle manufacturing to store machine-readable information. Camera phones equipped with QR reader software can decipher the barcode and take certain actions, like display a text message, open a Web page, send an email, or exchange a vCard with the user’s mobile device.  Most smart phones have a variety of choices when it comes to QR code scanning software: i-nigma, Mobiletag, NeoReader, QuickMark, ScanLife, Upcode and so on.
QR codes are taking on a new life outside of manufacturing. Businesses are now using QR codes to supply additional information to mobile device users (mobile tagging) on advertising, business cards, email marketing and more. QR codes can contain anything from text information to special offers.  If you would like to generate a QR code, visit:
You can also find other free QR code generators online.  Once you’ve encoded your information, you can save the code to your hard disk in a standard file format, and then reprint it on business cards, payment coupons, advertising or whatever you like. The QR code can encode many different types of information and can accommodate a variety of both inventive and ordinary uses.   So, download your choice of a QR scanner app and give it a try on the above QR Code!

Efficient Informational Uptake via RSS

What is RSS?
RSS or Really Simple Syndication is a format for delivering regularly changing web content in an abbreviated and efficient manner. Many news-related sites, blogs and other online publishers syndicate their content as an RSS Feed to all subscribers.

Why RSS? Benefits and Reasons for using RSS
RSS solves a problem for people who regularly use the web. It allows you to easily stay informed by retrieving the latest content from the sites you are interested in. You save time by not needing to visit each site individually. You ensure your privacy by not needing to join each site’s email newsletter (this tends to over-expose your email address). The number of sites offering RSS feeds is growing rapidly and includes big names like Yahoo News.

What do I need to do to read an RSS Feed? RSS Feed Readers and News Aggregators
Most of today’s browsers contain the ability to save and manage RSS Feeds. Almost like “favorites”, feeds are kept in a folder and sorted alphabetically.

Feeds update themselves automatically every time you are connected to the Internet. All content is stored on the user’s hard-drive so feeds can be looked at or read while offline. This makes catching up on your favorite web content very convenient.

Feed Reader, or News Aggregator software, will also allow you to grab the RSS feeds from various sites and display them for you to read and use.

A variety of RSS Readers are available for different platforms. Some popular feed readers include FeedReader (Windows), and NewsGator (Windows – integrates with Outlook). There are also a number of web-based feed readers available. My Yahoo, and Google Reader are popular web-based feed readers.

Once you have your Feed Reader or RSS-friendly browser, it is a matter of finding sites that syndicate content and adding their RSS feed to your favorites or to the list of feeds in your Feed Reader. Many sites display a small icon with the acronyms RSS, XML, or RDF to let you know a feed is available. Once you have found a site that contains the RSS icon, just click it and follow the prompts to save it under a name that you can choose or edit from the original. Once you are comfortable on how to find feeds and how to open them, you will be taking in information at an accelerated rate compared to surfing the web. Once the feeds are all in place, you can get updates on all your favorite websites and blogs while offline and in about 1/10th the time it took before you had the feeds set up.

Using a Simple Video Camera for Staff and Patient Education

Video media can be an extremely powerful and easy-to-use communication tool for patient education, staff training, and marketing applications. In a busy practice, finding time to train new members is always a challenge. And let’s face it, sometimes staff members need to see a procedure several times before it sticks.  When we recently hired our newest staff member, I asked her to use a simple Flip video camera to film our more seasoned assistants as they demonstrated sterilization, lab techniques, and other clinical procedures. We then edited this footage into a series of short training videos and saved them on our server for viewing from any workstation in the office. This can be an efficient way to create custom training films that contain tips on everything from proper camera settings for clinical photography to avoiding bubbles in impressions and model pour ups. 

One of the most beneficial uses of video technology in our practice has been helping patients prepare for their orthognathic surgery.   Many patients are so apprehensive about the procedure and the post-operative healing that they opt out before the date actually arrives.  We recently started filming our patients one week post-surgery and then at regular intervals during the healing process until their braces were removed.  We ask them about the level of pain they experienced and the amount of time it took before they were able to return to school (work).  We ask them to describe their swelling and numbness and their diet early in the healing process.   We also ask them the most important question, “Knowing what you know now, would you go through it again?” Our patients have been eager to share their experiences and are frank in their discussions.  These unscripted, heart-felt interviews are truly inspiring and much more helpful than a doctor’s description of what to expect post-surgically.

Videos can easily be created without a major investment in equipment or software.  Although they do take some planning and time, especially early on, the investment is well worth the effort.

Here are some tips for shooting your own videos:

  1. Invest in a small tripod or desk stand – your videos will be of much higher quality if you can prevent movement.
  2. If you are producing a video for patient education, you may want to invest in a high quality video camera with an external microphone.  A camera-mounted directional microphone will improve the audio quality dramatically. For staff training videos, Flip cameras and smart phones will suffice.
  3. The photographer must remain quiet during filming, especially if using a Flip camera or smart phone.  Remember that you are much closer to the microphone than your subjects. If you make comments while interviewing, you will find that you will be much louder than your subject and the video will be much more difficult to edit. If you need the interviewer’s questions to be heard in the final product, position the camera equal distance from both parties, even if it is focused on only one of you. 
  4. While professional lighting is preferred for marketing and practice website videos, natural lighting is usually sufficient for staff and patient education.  Just film in a brightly lit room and make sure there is enough light on your subject’s face.   
  5. Make sure to have your interviewee or one of their parents sign a photo/video release form giving you permission to use the video you just shot.  It also doesn’t hurt to ask the subject you are videotaping if they consent to you using this footage while you are recording. 


Tips for editing your videos include:

  1. Mac Software:  iMovie ($14.99) provides all of the editing, storage and organizational tools that you will need in an easy to use interface.  Final Cut Pro ($299) is a more powerful version of the software with more themes and special effects.
  2. Windows Software:  Windows Live Movie Maker is a free download from the Microsoft website. Abode Premier Elements ($99) is easy to use and more powerful.
  3. If you are new to the video production, watching online tutorials is a quick way to get up to speed.  They don’t take very long and you will be amazed by how simple and user friendly editing software has become.  
  4. Organize your video clips as you copy them from the camera.  Labeling and grouping them together into events will speed up your review and edit process later on.
  5. Back up your data!  Digital media is not safe until is it stored in at least three locations

Creating Content for Your Orthodontic Practice’s Social Media Channels

social-media-bannersCreating a social media presence for your orthodontic practice from scratch may initially sound like a daunting task, but the reality is it’s easier than most first think. There’s simply no reason not to get started if you haven’t done so already. A social media presence for your practice is the perfect way to tell your story, build your brand, and enhance your overall online presence.

Having assisted many of our members in setting up their fan pages, the question I hear more than any other is: “Now what? What kind of content should my staff and I be posting?”

Now What?
Just as important as having an online presence is making sure you are keeping it up-to-date. There are several ways to ensure that your practice’s social media output remains vibrant and timely by publishing meaningful content a few times each week.
Your goal should be quality over quantity. Aim for approximately 2-3 posts per week. Remember, each post works to increase your online visibility. But be careful not to overload your followers with too many postings. You don’t want to be added to their block list, which is a lot like a social media “death sentence” for your page.

So…what exactly should you post?
The obvious first step is to use and repurpose your existing content. For example, if your practice has a traditional newsletter or blog, plenty of ideas for postings can be cultivated from these pre-existing resources. Remember, on social media sites like Facebook and Twitter, you’re not in the “sales” business. You’re in the “relationship-building” business, so remember the 80-20 rule. So pluck from existing content, but don’t focus solely on trying to “sell” your services.

Other posts you’ll want to make will be links to different areas of your practice’s existing web site. If your site needs a bit of updating to get into shape before sharing, now is the perfect time to do so. For example, make your “About Us” section something worth sharing. Consider doing bios of different staff. Also consider sharing photos of your office.

Another ideal resource for postings is using video captured by you and your staff.

Don’t forget that if you’re going to use video and photos of your patients online, you’ll want to be sure you have had them sign a photo release form.

Finally, in the world of social media, there is no shame in researching what other orthodontists are up to online, and incorporating some of their better ideas into your own efforts. There are plenty of practices out there with active Facebook fan pages, so start searching, exploring, and using their postings to your fans’ benefit. Examples of content include contest ideas you may not have thought of, or new ways to feature successful treatments. Always keep moving forward, and don’t be afraid to try new things.

Promoting Yourself Using Practice Marketing Solutions
Another way to find fresh content is via the AAO. The AAO has also complied many different materials that are ideal for sharing. These materials are contained in an area of the AAO member website called “Practice Marketing Solutions.”This is an area of the web site only available once AAO members are logged in. (Access Practice Marketing Solutions via the My Practice / Marketing section of AAOinfo.org. Or log in, and then click the small banner on the left side of the home page.)The AAO has prepared a video that walks the viewer through AAO Practice Marketing Solutions and addresses how tools offered by the AAO can be used by individual members or groups of members. The information includes a series of sharable videos from the My Life. My Smile. So that you can easily share the videos, the AAO is permanently hosting them on both YouTube and Vimeo.

Alternately, you may also download and keep permanent copies of the videos to use where applicable, including hosting them on your own servers.In addition to the great video content, why not select a single AAO brochure

to share each week? Simply download a brochure, re-host it on your own web site, and link to it. It’s a great way to spread helpful information to your patients while also driving traffic back to your practice web site.These are just a few of the ways you can keep your social media sites up-to-date with meaningful content. Is Your Website Mobile-Friendly?

Mobile computing promises to change everything for consumers, from the way we pay our bills to the way we shop, plan, and commute. The wide array of mobile communications devices and the latest new mobile applications mean that it’s imperative for orthodontists to make sure their websites are ready for mobile devices.
Making Your Way on the Mobile Web
The mobile Web is here to stay. In the same way you look to the Web for valuable services, you also need to provide value for your potential customers.  Do you know how your existing website displays a mobile browser?  If not, you might be in for an unpleasant surprise! 
The mobile-friendliness of your Web page can either move you up or down in the mobile search engine rankings when people look for your services (but not necessarily you specifically) using a mobile browser.  Mobile browsers don’t always handle JavaScript, Flash or even cascaded style sheets (CSS) correctly. Sometimes they don’t handle them at all.

If your website has a lot of Flash animations, or makes heavy use of CSS, understand that the mobile user won’t find these helpful or attractive. In fact, these elements could actually drive mobile users away from your business.

You don’t have to redesign your website completely to accommodate mobile users, but rest assured, some changes are in order! Your web server can deliver information to your visitors based on how they view your site. Make a simple modification that allows your Web server to detect a mobile or traditional browser, and the server can issue one layout for visitors with desktop computers, and another layout for users with smartphones.

If you manage your own Web site, and you’re good with HTML and basic computer programming, you can modify your existing site relatively painlessly by setting up a “mirror” domain for mobile users, and adding a little bit of code on your main site that detects and responds to the type of browser a request for information is coming from.

If you have someone else design your website, let them know that you want to make your site mobile-friendly. These modifications are simple, and can even be tailored to deliver content to specific mobile devices if you want to add that level of detail. If this sounds complicated and/or expensive, here’s the best part: it’s not.

This small change will both improve your mobile search engine rankings and your customer service deliver at the same time.

Don’t dismiss your search engine position as unimportant. When someone is looking for a local orthodontist, you have a much better chance of making contact with the searcher if your practice is listed on the first page of the search engine results. Only dedicated searchers reach the second page of search results, and virtually no one at all sees Page 3.  If you’re listed on Page 4 of the local search results, new patients who are actively looking for your services will only see your competitors.

A mobile friendly website will be a big help to the mother who’s looking for your office phone number while she’s driving, or the new patient who’s not sure how to find your office.  It also preserves the function of your Web site for the user whose browser is prepared to take it all in.

What goes into making a mobile friendly page?  Mobile browsers are big on simplicity, so standard HTML and plain text are king. Forget long URLs, JavaScript, Flash animations, anchored images, scripts and all of the other things you may have added to your site to make it eye-catching.  Smartphones have decent data rates – 1 Mb/s or better, but a graphics-intensive Web site will deliver a quick beatdown to a mobile browser.

So, is your page mobile-friendly? The World Wide Web Consortium (W3C)’s mobileOK Checker will assess your website and tell you just how mobile-friendly your Web site really is (or isn’t). Visit:

Enter your website’s URL and the mobileOK Checker will rate your site in terms of critical, severe, medium and low failures in specific categories. The mobileOK Checker looks for standard HTML, page size, how much network support a visitor needs to view your page, and mobile-friendly page design.

If you’re worried that your site won’t look good after making these changes, think about this: mobile users (who use very small display screens) prefer fast, accurate information over aesthetics every time. Simple sites decrease the mobile browser’s download time and improve the mobile user’s experience.  In the end, meeting the user’s needs is what it’s all about.

 

But I Thought I Was Backing Up My Stuff!

For 3 years Michelle had worried about the office backup.  Each day she would bring in the oldest off-site tape from home in a special case.  She would swap it for the one that backed up last night, and then carefully label it with the date and place it back in the case and carry home that night. She slept well knowing her backup was done.

I was hired to take over the network maintenance, and the first thing I did was ask about the backup.  She explained her process to me and I was impressed.  Standing at the server I asked “What software do you use?”  A quizzical look appeared on her face, and I knew there was trouble. Two minutes of checking revealed that there was NO backup software, and EVERY tape she ever changed, labeled and took home were completely blank.  She turned grey.

I have seen this story repeat many times in all sorts of variations.  The result is still the same, a Practice without a backup of their precious data.
If you stop and think about it, do you have a nagging feeling about your backup?   Are you 100% certain it’s working?   Are you certain it contains ALL your Practices data?
Let me jump to my recommendation now:  Proceed on the assumption you have NO backup until proven otherwise.
Be sure All your Data is on the Backup
You probably have most of your data in one place – usually the ‘Server’.  Backup the Server and you have everything right?  Not usually.  Often your Practice Management database has special backup needs.  Users have terrible habits of saving documents to their Desktops or My Documents folders.  2D and 3D CBCT X-ray system save their data to the PC you use to run the machine unless you adjusted it otherwise.    Applications like Invisalign, OrthoCAD and Geodigm save their downloaded data to the local PC by default.
How are you supposed to know where the data is?  You aren’t expected to, but you should press your IT person to find out and know for sure.   Your job it to tell your person what programs you use, and ask them to specifically determine what needs to be backed up for each and how.  It might take them an hour or two to figure it all out, but that will be time well spent.  Push your IT person to really, really think about your data and make sure it’s all backed up.
Verify your Backup is working by doing a Routine Restore
So once you think you have it all backed up, you can’t trust the backups are working reliably.  Too many times I have gone to use a backup only to find it’s corrupt or incomplete.  The cure to this is to periodically test your backup by going through the process of actually restoring a few critical pieces of data each month.  This tests the software, backup media, and that someone knows the steps for recovery.   I’m not talking about using the ‘Verify’ function most backup software has built in, I am suggesting doing an actual restore of your data to an alternate location.  I don’t usually restore all the data, but a few of the most important pieces (maybe your Practice Management database and Quickbooks data file).
Ask your IT person to do this on a routine schedule, and then show you the restored data to prove to you the system is working.  It won’t take long and is well worth the trouble to know it’s working.
Monitor the Backup on a Daily Basis
Even with doing a test restore Monthly, what if the backup malfunctions the day after?  You could be surprised with losing 29 days of data should a disaster strike.
Most modern backup software programs have the ability to email you a status update each day.  They will tell you if they worked, were incomplete or failed.  Regardless of what they tell you, it’s good information to have.
I recommend that you assign the duty of checking this email to one of your responsible staff members and make it clear that it is a VERY important job responsibility and must be reviewed each day.  It will take 15 seconds on most days when things are working, and on days when it doesn’t they should be given the authority to contact the IT person to remedy the situation.   Usually this is the person also tasked with carrying out the off-site backup (you have an off-site backup right?).
Conclusion
You should be worried about your backup.  Without one, your Practice is at risk.  Imagine what it would be like to lose all your data.  Could you ever completely recover?
Assume you don’t have one and call your IT person now.  I bet they find something that needs improved.
